General Information about Volunteering

  • Swimming is a little different than most other team sports our children participate in. One swim meet might have 40 or more events and each event may have several heats. Coordinating the overall meet with children from age 6 to 18 in multiple events is a large project. Without the help from the parents, we would not be able to have a team. It is absolutely necessary that each family provide help at each home swim meet, and is available to help at the away swim meets. EVERY FAMILY REGISTERING FOR THE 2014 SWIM SEASON WILL BE REQUIRED TO VOLUNTEER DURING AT LEAST ONE MEET.

    Now that you've registered, make sure you sign up to volunteer for at least one* meet:

    *DECK OFFICIALS: You MUST use the links above to sign up to officiate a total of four (4) shifts.

  • Volunteer Descriptions

  • Concessions - Needed for home meets only - No experience required.
    1) Preparing, selling, and serving food and beverages during the meet
    2) Scheduled in staggering shifts throughout the swim meet and may include set-up or take-down
    3) Might be responsible for supplying items (which you will be reimbursed for) in lieu of or in conjunction with the Concession Stand duties
  • Concessions - Head - Needed for home meets only - No experience required.
    1) Coordinates item pick-up with team
    2) Oversees Concession Stand during the Meet
    3) Develops ideas for additional revenue generating and/or crowd pleasing items
    4) Coordinates coverage throughout the Meet
  • Data Entry - Assistant - Needed for home meets only - Should attend training (Dates TBD).
    1) Helps with data entry
  • Data Entry - Primary - Needed for home meets only - Must attend training (Dates TBD).
    1) Responsible for knowledge of Meet Management software (Hy-Tek)
    2) Enters results as races are completed
  • Data Entry - Runner - Needed for home meets only
    1) Provides race results so they can be entered in the computer
  • Deck Official (Stroke/Turn/Finish/Relay Take-off Judges) - Must attend training on April 26 and May 17.
    1) Monitors swimmers during races to ensure fair competition and compliance with rules for starting, swim strokes, turns, finish, and relay take-offs
    2) Responsible for disqualifying swimmers for rule violations
  • Floater - Needed for home and away meets - Substitute for any unfilled position at the meet - Requires flexibility to work either the first and/or second shift.
    1) Possible assignments would be Timer, Concessions, or Runner - Check in with the Volunteer Coordinator at the beginning of the first and second shifts to see if you will be working that day
  • Referee - Requires knowledge of competitive swimming - Must attend training on April 26 and May 17.
    1) Head referee for home meets, and responsible for working with all meet officials (Starter, Judges, and Timers)
  • Ribbons - Heats - Needed for home meets only
    1) Distributes ribbons to participants and winners in each Heat
  • Ribbons - Official - Needed for home meets only
    1) Distributes ribbons to Meet winners
  • Runner - Needed for home meets only
    1) Retrieves and distributes forms to/from Deck Officials
    2) Retrieves and distributes forms to/from Data Entry
  • Starter - Must attend training on April 26 and May 17.
    1) Calls the swimmers to their mark, starts the race, and judges that the start was fair
    2) Responsible for calling false starts
  • Timer - Head – Needed for home meets only
    1) Organizes the timers for each meet, and arranges back-up timing for all races
    2) Responsible for scheduling changes and replacements for timers, as necessary
    3) Responsible for overall timing duties at the meet
  • Timer - Needed for home and away meets
    1) Times all races using a plunger or a stop watch
  • Set-up Crew – Needed the night before each home meet - No experience required.
    1) Helps setup anything needed to operate the meet - Includes desks, folding chairs, PA system, speakers, canopy tents, Concessions, and trash cans
  • Teardown Crew – Needed an hour after each home meet - No experience required.
    1) Responsible for packing everything up at the end of the meet – Includes tables, folding chairs, PA system, canopy tents, Concessions, and trash cans
  • Tent Transporter – Needed for away meets only
    1) Retrieves and transports canopy tents to the away meet location
    2) Sets up tent in order to provide shade for the swimmers
  • Water Delivery – Needed for home and away meets
    1) Distributes water bottles to Timers and Deck Officials on as-needed basis during the Meet
  • Wrangler -Needed for home and away meets
    1) Responsible for making sure all swimmers are in line and ready for their heat
